TESTIMONIALS

Enabling large organisations to manage attendance

“As an introduction to a company that hasn’t used this kind of software before, our experience has been a really good one. The flexibility is great – we’ve set up various custom absence types in the system, which has really helped us to reduce admin time spent on requests. For example, we’ve got a medical appointment one and that is limited to four hours. So if someone tries to put that in for a day, it won’t allow them to do it. It’s such a time-saver.

To get everyone on board with a new system is often hard, but everyone I’ve spoken to seems to really enjoy using it. It’s straightforward, it’s not complicated, it’s really clear; you can see your leave, entitlement, working pattern. And I think that’s the key thing when you’re introducing this kind of system to people.”

“The rollout of edays was really straight forward and we felt supported. Having the team help us with implementation and being on hand with technical advice was really appreciated. And in terms of being able to easily handle the different working terms and conditions of different sites, it’s been great to have the support on managing this with the various templates and settings.”

“It gives people a lot more visibility, they can access everything easily from wherever they are and it makes reporting so much more accessible. Implementing edays has also had a really positive impact on other areas of our business too. Since overtime and holiday calculations are so much more accurate now, it means fewer problems with payroll each month.”

“edays has enabled us to follow processes more rigorously and a big benefit is the visibility of absence throughout the organisation. The reporting functionality is used to show clearly which departments need to focus on employee engagement and wellbeing when it comes to sickness absence. It has also allowed us to keep on top of the holiday bottleneck and ensure that we have a smoother flow of absence throughout the year which is much easier to manage.”

FREQUENTLY ASKED QUESTIONS

The global attendance solution designed to suit your needs

The best way to track employee absence is by ensuring that all absences are logged and recorded in a centralised system. Where possible, the reason for the absence should also be logged. With edays, you can set up absence triggers which will send you an alert when that trigger is met – for example, if an employee takes three absences during a set time period. Having this data will enable people managers to proactively reach out to an employee who has been absent more than once in a short space of time. Without automated processes like these, absence tracking can be much more challenging if done manually – for example by using spreadsheets. This approach can lead to errors, inaccuracy and a lack of overall visibility of absences occurring in a team or whole organisation.

Yes. edays allows you to track any type of planned (e.g. holidays, maternity leave, medical appointments, business trips, time off in lieu (TOIL), etc.) or unplanned absence (e.g. sickness, compassionate leave, unpaid leave, etc.) in a single system. You can also create custom absence types specific to your organisation, such as wellbeing leave, and define rules for how these are to be used and recorded. The return to work process is made faster and more efficient with edays. A reason can be logged alongside an individual’s sickness absence, and for UK employees, relevant NHS guidance can be forwarded on to them to aid in their recovery (see more on our NHS Portal here). You can automatically send a return to work form to an employee who is returning from sickness absence. This is then stored in the employee’s details in edays, alongside any doctor’s fit notes or medical certificates that may be required. Before conducting return to work interviews, managers and HR can review the employee’s records and view any previous absences to be fully equipped ahead of the individual’s return.

Yes. You can configure system alerts to trigger if specific absence conditions are exceeded and automatically notify specified individuals via email immediately. Find out more about the edays sickness tracker.

Yes. edays allows you to configure all absence types to be recorded in hours, days or half-days, with customisable settings for different working patterns (i.e. shift work, part-time employees, etc.) Find out more about our staff holiday management features.

Absence management is the process of recording and tracking all employee absences within an organisation. Absence management includes tracking sickness absences from work – everything from who should be informed if an employee is ill, to the reason for their absence (if disclosed), how long they need to take off from work, and how all of this information is recorded. Good absence management practices mean that employees feel supported, resources can be carefully planned around absences, and any issues within teams can be addressed accordingly.

Here are some of the benefits of using a staff holiday booking system:

1. Data-driven decision making

edays staff holiday booking system lets you generate valuable reports and analytics on leave trends, absence patterns, and how employees prefer to use their leave, and more. These insights provide data-driven support for informed decision-making on HR policies, staffing needs, and overall workforce planning.

2. Enhanced employee experience

Offer employees a user-friendly and convenient way to manage their leave with staff holiday booking software. Self-service portals empower employees to submit requests, track their leave balances, and take ownership of their working time. This fosters a positive employee experience and boosts morale.

3. Reduced errors and increased compliance

A staff holiday booking system enables you to minimise the risk of human error in tracking leave allocations and ensuring compliance with legal and country-specific requirements. Automated reminders and notifications help prevent overbooking and ensure fair leave allocation across the team.

4. Improved visibility and planning

Gain real-time insights into team availability and holiday trends with a staff holiday booking system. Forecast potential staffing shortages and proactively address them. This empowers better workforce planning and resource allocation, ultimately enhancing operational efficiency.

5. Streamlined and efficient processes

Ditch manual spreadsheets and long email chains. A staff holiday booking system automates leave requests, approvals, and cancellations. This saves significant time and reduces administrative burden, allowing HR to focus on strategic initiatives.

Yes. edays can account for public holidays for countries around the world. Our country templates enable you to manage leave according to the statutory entitlements and national holidays that vary in different regions. Our system can also be set up in another language, so that employees in different countries can access the platform in their native language.

Yes. edays enables you to track all types of leave – from statutory entitlements and public holidays to additional allowances. Custom leave types can be set up in the system to cater for things like birthdays off, wellbeing leave, and volunteering days. Maternity, paternity, bereavement, emergency time off and more can also be clearly logged in the system – so you know exactly who is off, when, and why.

There are many benefits to using edays leave management software, which vary depending on the size and type of organisation you are, and which industry you’re operating in.

edays is a great option if you’re looking to reduce your admin burden and eliminate the need for spreadsheets and paper forms when dealing with employee leave requests. This is helpful to most organisations, that are either SMEs and therefore short on resources, or large and global organisations looking for a consistent, reliable and centralised system for handling employee holidays, leave, time tracking and sickness absence in one place.

We can also offer many industry-specific benefits, too. edays provides a streamlined platform for handling holiday and leave for organisations that have a mix of employees, including office and non-office based staff, part-time and full-time employees, and multiple locations in one country and/or around the world. For industries or countries that mandate time off, this can also be configured into the system. Any type of leave can be logged – from statutory entitlements such as annual leave and maternity leave, to organisation-specific leave, such as birthdays off, volunteering days, and wellbeing days.

From employee experience perspective, edays leave management software enables employees to log on to their desktop or mobile app, and simply request annual leave in seconds. No need for email chains, submitting forms or updating spreadsheets. Their line manager can then approve or deny the leave request just as quickly, reducing the admin drain.

Employees and their managers can also view their leave entitlement, as an easy way of helping them plan out when they’d like to use it. Group calendars let people see when their team members are planning to take leave, to avoid clashes in requests and minimum staffing issues.

Leave management is the process of managing all types of employee leave within an organisation. This is includes annual leave, or holiday entitlement, whereby employees are entitled to take a certain number of days off per year. In the UK, almost all employees are legally entitled to statutory leave which is 5.6 weeks paid holiday per year. This varies in other countries. In addition to statutory leave, organisations may also choose to offer additional holiday entitlement to employees – such as wellbeing days and birthdays off. Leave management also refers to managing other types of leave that employees are legally entitled to, which includes maternity leave, paternity leave, and other types of leave.
