As a well-established company founded over 40 years ago, Sovos had a number of systems and processes rooted within their business, including an HRIS. However, after finding that it wasn’t capable of the flexibility and functionality that they required to manage absence and leave on a global scale, Sovos came to edays for the solution.

THE CHALLENGE

When they approached edays, Sovos were struggling to manage their absence and leave with their existing HRIS (ADP).

They found that it lacked the functionality to be able to handle varying, and often complex, absence and leave regulations across different countries (such as Turkey, Portugal & Italy).

Because the system wasn’t capable of handling the challenge, Sovos found that they were having to prop up their HRIS with additional manual processes, including spreadsheets and email trails. This created a large admin burden, particularly on their HR team, and was not a very efficient way of managing thousands of employees.

We were finding we were having to do a lot of manual adjustments and it was becoming very long-winded. Managing it from the UK and having to understand every single intricate rule of carryover, statutory and non-statutory leave in different countries was a real challenge, as was even inputting the data into our HRIS without the flexibility of different leave types. It was becoming really tricky to manage.

THE SOLUTION

Knowing that they needed to cut out all the additional manual work, Sovos began to look for a software solution that would sit nicely alongside their HRIS and manage absence and leave on a universal scale.

With global templates, custom user settings, and a large volume of automatic entitlement imports available, edays were able to transform the approach and automate the process from start to finish. With minimal work involved from the internal team to implement, Sovos were up and running on edays in a matter of weeks, with the system fully integrated with ADP (which they retained to manage other aspects of HR such as personnel data and salaries).

When I started comparing options for a new system, I found that no one else had the level of automation that edays did. You can set up the templates per country, per person, per leave type… so edays was the solution that jumped out. From the offset I thought it was going to make our lives so much easier.

THE IMPACT

With manual work previously casting a shadow over both the HR team, and the employees, edays was able to make a real difference in Sovos’ organisation.

It improved employee engagement and the team were able to get on board with it straight away since it’s intuitive and user friendly.

Sovos is a large organisation, so having a system that is able to roll out templates and automatic updates to all users is important. However, they also needed the ability to easily update things in special circumstances (different entitlements during maternity leave, for example) so the flexibility to update both the rule and the exception was a real benefit.

Integrating with Sovos’ HRIS also meant a complete removal of manual work as all updates made in ADP are automatically carried into edays (such as manager or authoriser changes).

It’s made such a difference to us, I feel like edays has been there forever now! It is really intuitive and it’s great that managers are able to gain full visibility with the group calendars. We also have great rapport with the edays team and if we need something, they either help us with it, or look into getting new things developed to support us.
